1. Who we are
HomeBuild Technologies Limited is registered in England and Wales under company number 17527695.
Our registered office is 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.
We operate the HomeBuild, Sue My Builder and Manage My Home Build brands. HomeBuild Technologies Limited is the controller of the personal information described in this policy, except where a separate arrangement expressly identifies a different role.
For privacy enquiries, rights requests, complaints or general support, email hello@managemyhomebuild.ai or write to our registered office marked “Privacy”.
2. Our services
Manage My Home Build helps homeowners organise residential building projects, including contracts, scope, payments, variations, photographs, planning information, snagging, certificates and project records.
Sue My Builder helps homeowners organise building disputes, understand potential issues, prepare evidence and correspondence and, where appropriate, connect with independent experts or solicitors. Its dispute-preparation information is intended for England and Wales unless a feature expressly states otherwise.
Some functionality uses artificial intelligence to analyse user-supplied information and generate summaries, explanations, suggested actions or draft documents. HomeBuild Technologies Limited is not a law firm. Sue My Builder provides legal information and preparation tools, not legal advice, and does not create a solicitor-client relationship.
3. Information we collect
Account and contact information: your name, email address, telephone number where provided, postal address or postcode, account credentials and identifiers, communication preferences and subscription status.
Building-project information: property address; builder, contractor and professional details; project description, value and dates; scope of works; quotations, contracts, drawings and specifications; invoices and payment records; variations; planning and building-control information; insurance and VAT information; certificates and guarantees; photographs, videos, snagging records, notes and communications.
Dispute information: alleged defects or incomplete work; disputed amounts; builder correspondence, letters, emails and messaging exports; photographs and videos; expert reports; solicitor correspondence; claim calculations; chronologies; settlement discussions; and AI-assisted assessments and preparation materials.
Information about other people: uploads and project records may identify builders, employees, subcontractors, architects, engineers, surveyors, neighbours, witnesses, insurers, solicitors and others involved. Provide only information reasonably needed for your project or dispute and which you are permitted to provide.
Payment information: selected product or plan, billing address, payment status and history, transaction identifiers, cancellations, refunds and limited payment-method information supplied by payment providers. Full card details are normally processed directly by the payment provider rather than stored by HomeBuild.
Planning information: addresses and postcodes; application references, descriptions and status; planning authorities; decisions and consultation information; publicly available applicant, agent or professional details; document metadata; and links to official records. Planning documents may be processed where the relevant functionality and permissions allow.
Professional-referral information: name and contact details, project location, project or case summary, claim value or value band, requested service and documents or case-pack information you choose to share.
Technical and usage information: IP address, browser and device information, operating system, login activity, pages and features used, approximate location inferred from IP address, cookie or analytics identifiers where enabled, error information and security or audit logs.
Communications and marketing: enquiries, support requests, complaints, waitlist registrations, survey responses, feedback, email correspondence and marketing preferences.
Information needed to set up an account, supply a requested paid service or process payment is required for those purposes. If you do not provide it, we may be unable to supply the relevant service. Optional information is not a condition of using unrelated features.
4. Special-category information and criminal allegations
We do not ask for sensitive personal information unless it is relevant and necessary to the requested service. Dispute files can nevertheless include health information or other special-category data. Where necessary to establish, exercise or defend legal claims, we may process that information on that additional legal condition, alongside an applicable lawful basis described below. Where that condition does not apply, another valid condition is needed before processing.
Information about criminal convictions, offences or alleged offences is subject to separate legal safeguards. It is not treated as ordinary project information merely because it appears in an uploaded document. We process it only where permitted by applicable law and the necessary condition and safeguards apply.
Avoid uploading unnecessary sensitive information. Redact irrelevant bank details, identification documents, children's information and other personal details. Contact us if you believe unnecessary sensitive information has been included.
5. How we obtain information
We obtain information directly from you, from account and project entries, uploaded files and communications, professionals involved in a requested referral, and payment, authentication and other service providers. We also collect technical information through your use of our services.
Planning information may come from public local-authority planning registers and third-party planning-data providers, including PlanWire where used. The relevant planning record identifies its authority or source where available. Information about other individuals may come from users' project records or correspondence rather than directly from those individuals.
6. How we use information
We use information to create and authenticate accounts; provide the products; organise, store and analyse project and dispute records; generate requested AI summaries and drafts; create timelines, risk prompts, reports and case packs; process subscriptions and payments; provide support; handle complaints; provide planning searches and tracking; and facilitate referrals requested by users.
We also use information to secure the platform, prevent misuse, diagnose errors, improve services, administer trials and promotions, send service messages, send permitted marketing and meet legal, accounting, tax and regulatory obligations.
7. Our lawful bases
Contract: we rely on contractual necessity to administer your account, supply requested services, process purchases and maintain records as part of our agreement with you, including necessary steps you request before entering a contract.
Legitimate interests: we rely on our legitimate interests, or those of relevant users, for proportionate security, fraud prevention, troubleshooting, service improvement, business administration, handling enquiries and protecting legal rights. Processing relevant information about builders, witnesses and other third parties in a user's project or dispute may rely on the legitimate interests of providing project records and establishing or defending claims. A contract with a user does not itself provide a contractual lawful basis for processing everyone else's information. We assess necessity and balance these interests against individuals' rights.
Consent: we rely on consent for optional analytics and marketing cookies under our cookie controls, optional marketing where required, and optional referral disclosures where consent is the appropriate basis. Requesting a referral authorises the sharing described at that point; it does not authorise unrestricted access to your files. We identify any different lawful basis that applies to a particular referral activity when relevant.
Legal obligation: we process information necessary to comply with applicable accounting, tax, regulatory and other legal duties. Disclosures to authorities must have an appropriate legal basis; a request alone does not automatically justify disclosure.
You can withdraw consent through Cookie Settings, an unsubscribe link or hello@managemyhomebuild.ai, as appropriate. Withdrawal does not affect earlier lawful processing or processing that properly continues on another basis.
8. Artificial intelligence
Some features use third-party AI providers. Relevant information from your entries or uploads may be transmitted to them to generate requested document summaries, contract analysis, project reviews, evidence analysis, dispute-preparation information, draft correspondence, timelines, risk prompts or case packs.
AI output can contain errors, omit relevant matters or misunderstand documents. Review important outputs before relying on or sending them. The services do not replace a solicitor, architect, surveyor, engineer, planning consultant or other qualified adviser.
AI processing is subject to applicable provider arrangements, security requirements and data-protection obligations. You can request information about the providers used for your information, relevant retention and transfer arrangements by emailing hello@managemyhomebuild.ai.
We do not use these features to make solely automated decisions that produce legal or similarly significant effects on you. Any introduction of such decision-making would require appropriate information and safeguards before it occurs.
9. Who we share information with
We share information where needed with hosting, database, authentication and storage providers; AI providers; payment processors; email and communications providers; monitoring, security and permitted analytics providers; planning-data providers; and support providers. We also share selected information with professionals you ask us to contact. Integrations with professional directories or review services receive only information needed for the relevant function on an appropriate lawful basis.
Some organisations act on our instructions as processors; others, such as certain payment providers or independent professionals, may act as controllers for their own purposes.
We may disclose information where lawfully required, to protect legal rights or safety, investigate misuse, obtain professional advice, or as part of a financing, restructuring, acquisition or business transfer, subject to appropriate safeguards and notice where required.
We do not sell personal information to advertisers.
10. Solicitor and expert referrals
Membership of our referral service does not allow professionals to browse private project or dispute files. Before a referral is submitted, we show the intended recipient and the information and documents selected for sharing. Sharing occurs after your confirmation.
Independent professionals normally act as separate controllers for information they receive and have their own privacy notices and professional obligations. We provide or link relevant privacy information where available.
You can contact us to stop a referral that has not been sent or withdraw continuing access where available. Withdrawal does not undo a completed disclosure or necessarily require a professional to delete information they must lawfully retain.
11. Planning information
Planning records may originate from local planning authorities, public-sector registers, PlanWire or other lawful sources. Public availability does not remove data-protection obligations.
Where information is supplied under the Open Government Licence, we retain relevant source and attribution information. Architectural drawings, photographs, reports and other planning documents may have separate rights. Public availability does not automatically permit copying or redistribution. Where reuse rights are not established, we may retain metadata and official external links instead of copying documents into our storage.
12. International transfers
Some service providers may process information outside the United Kingdom. Where a transfer is restricted under UK data-protection law, we use an applicable lawful mechanism, such as UK adequacy regulations or appropriate contractual safeguards, including the UK International Data Transfer Agreement or UK Addendum to approved standard contractual clauses, as applicable.
You can request information about relevant transfer destinations and a copy or explanation of applicable safeguards by contacting hello@managemyhomebuild.ai. We may redact confidential commercial information without obscuring the protection afforded to your information.
13. Retention
We keep information for as long as necessary for the purposes described, taking account of the service you use, whether your project or dispute remains active, any agreed read-only access, deletion requests, applicable legal retention duties, potential legal claims and security needs.
Account, project and dispute information is retained while needed to provide active services or agreed continuing access. Cancellation of payment does not itself request deletion. After account closure or a deletion request, information is deleted or anonymised unless a continuing lawful reason requires retention.
Billing and transaction records are retained for applicable accounting and tax requirements. Support, complaint and dispute records are retained for resolving the matter and any relevant legal-claims period. Security and technical records are retained according to incident-investigation and operational needs. Marketing contact information is retained while relevant and permitted; a minimal suppression record may be kept to honour an unsubscribe request.
Backups are removed or overwritten through the applicable backup cycle; deleted information may remain in restricted backups until then. Where a backup is restored, deletion requests must be reapplied as appropriate. We do not promise indefinite storage. Contact hello@managemyhomebuild.ai for information about retention relevant to your account or request.
14. Security
We use technical and organisational measures appropriate to the information and risks, including controls over authentication, access, storage, transmission and service-provider use. No online service can guarantee absolute security.
Keep your credentials secure and tell us promptly at hello@managemyhomebuild.ai if you suspect unauthorised access. Our security responsibilities are not transferred to you by this instruction.
15. Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction or portability of personal information, withdraw consent and complain to the Information Commissioner's Office. Rights may be subject to legal exceptions. Contact hello@managemyhomebuild.ai to exercise them. We may request proportionate identity information and will respond within applicable legal time limits. Requests are normally free; any lawful exception will be explained.
Your right to object: you can object to processing based on legitimate interests on grounds relating to your situation. You can object to use of your information for direct marketing at any time, including related profiling. We will stop direct marketing when you object. For other objections, we will assess whether there are lawful grounds to continue and explain our response.
16. Privacy complaints
If you have a concern, contact hello@managemyhomebuild.ai or write to our registered office marked “Privacy complaint”. We will acknowledge, investigate and respond as required by applicable law.
You can also complain directly to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. You do not need our permission to do so.
17. Cookies and similar technologies
Our services use strictly necessary cookies or similar technologies where needed for authentication, security, session management, requested functionality and storing privacy choices.
Optional analytics and marketing technologies are enabled only after you opt in through our controls. You can accept, reject or manage optional categories and change your choice using Cookie Settings. Rejecting optional tracking does not prevent use of necessary functionality.
Our cookie notice or preference interface identifies the actual technologies and providers used, their purposes and duration. Choices may be specific to a browser, device or domain; clearing browser storage may require you to choose again.
18. Marketing
We send marketing only where permitted under applicable data-protection and electronic-marketing rules. Where we rely on an existing-customer exception, we provide the required opportunity to opt out when collecting details and in later messages. You can unsubscribe in a marketing message or contact hello@managemyhomebuild.ai.
Necessary account, security, billing and service communications are not marketing and may continue. Marketing consent is optional and separate from agreement to the Terms.
19. Children
The services are intended for adults managing residential projects or disputes. People under 18 must not independently create an account. Avoid uploading information about children unless necessary and lawful. Contact us if you believe a child has provided information inappropriately.
20. Changes to this policy
We may update this policy as services, providers and legal obligations change. The current version will be published with its last-updated date. We will take reasonable steps to notify affected users of significant changes and obtain consent where required for a new use.
